Reserve Procedures

To foster broad access to materials, the library prioritizes the purchase of e-resources and encourages adoption of open educational resources (OER) as substitutes for print reserves.

Requesting Course Reserves

There are several ways faculty can place material on course reserve:

  1. Any required texts that a faculty member enters into Akademos will be automatically put on reserve unless the library is unable to acquire a copy.
  2. Faculty can submit any additional items (DVDs, audio recordings, other texts) by using the Library Reserve Request Form. Please note that we may be unable to provide streaming access to films or videos. See the Film/Audiovisual Policies page for more details.
  3. Faculty may email a list of items you’d like the library to place on reserve. Please provide the following information for each item if possible:
    • Course number and section
    • Type of material (book, DVD, etc.)
    • Title
    • Author/Director/Performer
    • Please note that workbooks cannot be placed on reserve
  4.  Faculty may drop off physical materials at the Circulation Desk if submitting a personal copy.

Please know that the library only places items on reserve that we know about:

  • If we already own a required text (based on the bookstore textbook list), we will put it on reserve unless faculty have requested that we not do so.
  • If faculty have personal copies of required texts (or other material) that they are able to loan (or donate), we will gladly place them on reserve.
  • If the bookstore does not have a textbook list for a course, the library must be notified directly of reserve requests.

Photocopy guidelines:

  • Please note that we only need one copy for every 10 students in the course.
  • Rather than photocopy book chapters, we strongly prefer to purchase the book itself and place it on reserve. Please share book purchase requests via e-mail.

Processing Time

Reserves are processed on a first-come, first-served basis with a 5 business day turn-around time. Preparing reserves (print & digital) is a time intensive process.  Prompt submission and thorough explanations of materials needed help ensure materials are ready in a timely manner. Faculty are strongly encouraged to send in reserve lists before the semester begins.
